CrowdSnap is a guest photo-sharing service that wedding venues include in their wedding packages. This policy explains what we collect from venues, couples and wedding guests, and what we do with it.
1. Information We Collect
- Venue partners: business name, contact name, email, phone, website, the venue's shipping address and table count, the date you accepted our partner terms, and your wedding bookings on CrowdSnap (couple names, dates and emails you enter).
- Venue billing: your payment card is saved and charged by Stripe. We never see or store the full card number; we keep only the card brand, the last four digits and a record of each charge and refund.
- Couples: names, wedding date and the email address the venue gives us, used to send the welcome email and the gallery.
- Wedding guests: the name a guest enters to join a wedding (and their email address, if they choose to give it for the gallery email), the photos, videos and guestbook messages they share, and their likes. Guests don't create an account. Their name, any email, and a random ID used for likes are saved on their own device so they don't have to re-enter them.
- Technical data: IP address, browser and device type, and error reports, used to keep the service secure and working.
- Cookies: essential cookies only, for signing in to venue and admin accounts.
2. How We Use It
- To run each wedding's photo sharing, live feed, games and guestbook.
- To email the couple and guests the gallery the morning after the wedding.
- To bill venues per wedding and issue refunds for cancelled weddings.
- To print and ship each partner venue's table cards, frames and signs.
- To send account, billing and service emails.
- To prevent abuse (for example, rate limiting uploads and sign-ins) and fix problems.
3. Who Can See Photos
Photos and videos belong to the wedding they were shared to. During the wedding, guests of that wedding can see them in the live feed. Afterwards, the couple and that wedding's guests can view and download them from the gallery. Anyone with a wedding's link can open it, so share links only with people you trust. We don't use photos for advertising or to train AI models, and we don't sell them.
4. Service Providers We Share Data With
We don't sell personal information. We share it only with providers that help us run CrowdSnap, each for its stated purpose:
- Stripe: venue card payments and refunds.
- Vercel, Neon and Cloudflare R2: hosting, database and photo storage.
- Resend: sending emails.
- Print partners (such as Gelato): the venue's name, shipping address, phone and email, to deliver its signs.
- Upstash and Sentry: abuse protection and error reporting.
- VenueReach: our partner-management platform, which receives venue sign-up and billing details so we can support our venue partners.
- Legal requirements: when required by law, legal process or to protect our users.
5. How Long We Keep It
Wedding photos, videos, guestbook messages and guest details are kept for 12 months after the wedding date, after which they may be deleted. Venue accounts and billing records are kept while the account is active and as long as we're required to for tax and accounting. Couples and guests can ask us to remove specific photos sooner.
6. Your Rights
- Ask for a copy of your personal data.
- Correct inaccurate information.
- Ask us to delete your data, or a specific photo you shared or appear in.
- Opt out of non-essential emails.
Email us at the address below and we'll respond within 30 days.
7. Security
We use HTTPS everywhere, hashed passwords, limits on sign-in attempts, and access controls on our systems. No service is perfectly secure, so please tell us right away if you think something is wrong.
8. Children
Venue accounts are for adults. Guests under 13 should share photos only with a parent's permission. We don't knowingly collect personal information from children under 13; if you believe we have, contact us and we'll delete it.
9. Changes to This Policy
If we make significant changes, we'll update the date above and email venue partners.
